Subcommittee on Academic Advising Minutes

January 24, 2000

Members were reminded of the Advising Conference on Friday, February 18th and encouraged to identify qualified faculty who might be nominated for the advising award. Steve Sarratore offered to mention the item at a coming AOC meeting.

Steve Sarratore circulated a draft of an advisor evaluation instrument. As academic advising for faculty now comes under the heading of teaching rather than service, some departments/schools may choose to assess the effectiveness of advising. The evaluation form is intended as a means of enhancing advising and supporting an individual who does it well. It may be adapted as necessary. The subcommittee approved the instrument and its cover letter unanimously. Steve will forward the instrument to EPC as information and unless there are objections, it will be circulated across campus on or about February 15th.

Jane Loomis reported on the coming High School Counselor Visitation Day, to be Friday, March 3rd. Carol Isaacs will incorporate an advising presence in the day=s program in two ways: campus advisor representatives will be identified in opening comments and high school personnel will be invited to join them at lunch, where tables will be differentiated by academic area; IPFW people will discuss issues of interest at that luncheon. In addition, Jim Burg of the School Education, will offer a brief presentation on the counselor education program at IPFW.

Carol Isaacs has also asked that an information piece be circulated at lunch which includes names of contacts in our various schools. These contacts may expect calls for information from either high school students or school guidance counselors. Subcommittee members are to contact Jane Loomis with names of school contacts and names of those attending the March 3rd program by

February 15th.

Members Slaubaugh, Skoog, and Burg were reminded of the responsibility to review nominations for Advisor of the Year Award to begin soon, as invitations and details regarding the process have been circulated. Rhonda Meriwether, last year=s recipient, will also participate in the review.

Minutes - January 10, 2000

Visitor: Sue DeChant

There was brief discussion of the coming IPFW Advising Conference on February 18th. Charlotte Westerhaus, Affirmative Action Officer at Purdue West Lafayette, will be keynote speaker on legal issues in advising. Other program matters are still unfinished and the program work group will meet to finish planning the occasion. Committee members are encouraged to spread word of the conference and to persuade other faculty to attend.

Steve Sarratore has completed a draft of a possible advisor evaluation tool. We look forward to reviewing and approving the draft at the next meeting, January 24th.

The new Advisor Advocate is out; faculty are encouraged to nominate colleagues for the AAdvisor of the Year Award@ according to qualifications included in the Advocate. The winner is announced at the luncheon of the February 18the Advising Conference.

There was a question regarding committee involvement in the high school counselor visitation day sponsored by Admissions. The co-chair will request an update from Jane Loomis, who chairs that work group.

Minutes of 10-11-99 Meeting

Members present: Lin, Neitzel, Sarratore, Motz, Slaubaugh, Skoog, Burg, and Herbrand

Kevin Browne indicated that touch-tone registration has been referred by EPC to this committee for discussion. Kevin offered a brief history of both web and touch-tone registration formats. Issues raised in the last advising meeting were discussed at length. Touch-tone would likely be introduced in the fall of 2000 for Spring 2001 classes.

Academic Advising Subcommittee

Minutes of 9-27-99 Meeting

Members present: Bruening, Lin, Neitzel, Sarratore, Hook, Slaubaugh, Burg, Wakley, and Herbrand

Visitors: Isaacs, Michalec, DeChant, Loomis, Gagle, Anderson, Motz

Pam Michalec of the Bursar=s Office requested members= suggestions how to be better communicate the billing process to students and how to encourage them to pay on time. A variety of suggestions followed, most believing it to be the student=s responsibility and not that of the advisor.

Carol Isaacs was invited to discuss the potential of committee members meeting with high school counselors during the annual event (Friday, March 3) which brings them to campus. The object would be to compare and contrast our roles and to share information/perspective unique to our positions. Jane Loomis will lead a work group including Les Motz, Jim Burg and Greg Anderson to discuss with Carol how best to build in this component within the day.

Carol also had a request of the committee that during weeks of Aconcentrated registration,@ departments agree to a single choice for Fridays -- to register or not to register. It is confusing for all concerned if some units do register students and some do not. No conclusion was reached.

A variety of advising assessment forms were disseminated and the Thursday, November 4, satellite broadcast on Academic Advising was mentioned. Neither subject was discussed. There was brief discussion on the subject of adding a touch-tone telephone registration procedure to the web registration product now being implemented. Comments were generally not supportive: many students will need to make multiple calls, we ought not to assume that techno-phobes will find this more convenient, the addition of one more registration process simply confuses students, and for those registering near the end of the process, there will be no way to check sections still open via the telephone procedure.

Minutes of Sept 13, 1999

The issue of advising assessment was introduced as a major thrust of the committee for 1999-2000. Members were reminded that last year faculty advising of students was moved from the category of service to that of teaching. Examples of advising evaluation tools will be circulated at the next meeting.

There was a general discussion of OASIS regarding how units will be communicating with students about its use. There is some confusion and uncertainty about the readiness of the product as registration approaches. While at least one unit is recommending OASIS as the way to register, others are describing it as one of several means to that end.

Several work groups were formed, as follows:

-Advising Assessment - Linn, Sarratore, DeChant, Herbrand, Wakley

-Programs (Advising Conference and "Lunch Talks") - Bruening, Neitzel, Herbrand,

Loomis, Gagle

-Advisor Award - Meriwether (last year's recipient), Burg, Slaubaugh, Skoog

Jane Loomis expressed interest in meeting with high school counselors and discussing issues of college bound students. Such a forum exists when Admissions staff invites area counselors to IPFW early in second semester. Bill Bruening will speak with Carol Isaacs regarding an opportunity to be part of that day's schedule.

Discussion took place regarding a revised KALEIDOSCOPE versus the proposal for a revised 2000-2002 BULLETIN which could include a standardized template of all departmental curricular requirements for four years. The issue will be revisited.

Pam Michalec of the Bursar's office will meet with us September 27 to discuss communicating with students regarding the timely payment of tuition and fees.

Members were reminded of the NACADA organization and the October annual conference.

 

The first "Lunch Talk," October 12, will be a discussion of OASIS and web registration.
