Basecamp General Information

Track your projects as they are in process...

User accounts: You will be assigned a username and login to BASECAMP after the project initiation meeting.

• Sent via IPFW e-mail
• You can also get to BASECAMP through the Publications Web site.
• You will have access to view progress on the milestones for your projects ONLY!

Project number and name: On the Dashboard, open project job numbers and names appear on the RIGHT under YOUR PROJECTS. Once in a specific job, number and name appears across the top of your screen.

Two-week calendar: BASECAMP updates daily, with a two-week calendar of milestones pertaining to your projects. “All access” users can access a three-month calendar of milestones to look further ahead (from Dashboard, click on Milestones; you can drill down to your area).

E-mail reminders: BASECAMP will automatically remind you two days in advance via e-mail of anything that is expected of you. If the milestone has not been completed and checked off, it will be flagged red at the top of your BASECAMP main screen. It is your responsibility to communicate with the appropriate person on the status, so that the milestone can be addressed. Do not change late milestones without communicating this to all parties.

Accomplished milestones: When a milestone has been completed, the person responsible for that milestone needs to log in to BASECAMP and check off that particular milestone. To do so, you click on the milestone (either on the two-week calendar or inside the job, and check the box assigned to you that is complete).

Project activity: At any time, you can see what kind of activity has been done on any of your projects by the Publications office.

Messages: Any correspondence regarding the project should be done through BASECAMP within the online job folder. Those involved with a project can communicate efficiently (and refer back to this later, if needed). This notice will be automatically sent to your IPFW e-mail address. You have the capability of responding to that message posting while you are still in Groupwise.
    
Writeboard: This area is used for marketing specialists to post marketing objectives and meeting notes.

Files: This area is used for text/art file submission (in as close to final form as possible) by marketing specialists.

Project completion: When a file has been completed and delivered, the project will be archived by the Publications staff.

Approval forms, Print Request forms: BASECAMP does not take the place of project approval forms that accompany a proof to a client’s office or any other paperwork, such as Print Request forms. These will still be standard procedure, as in the past. This system serves as a project management tracking system and helps Publications and you make sure that projects are getting completed on time.
