Transform Purdue was launched as Purdue University – West Lafayette continues to enhance its brand excellence in the market as world-class in research, teaching and engagement.   Recognizing that the foundation that supports those pillars of excellence — our business processes — are not world-class, our West Lafayette campus met with hundreds of colleagues to learn about the processes and systems currently being used.  The results of this research pointed to two items:

  • Ineffective and inefficient business processes
  • SAP structural impediments

 

It was clear that our current structure is too complex, and our reliance on paper forms and manual processes prevent us from moving forward and do not meet the university’s needs. In order to transform and do business better, three Transform Purdue projects were commenced.  

 

Human Capital (HCM) - - - includes HR|OIE and you:

The HCM transformation is a transformation of the people processes from “recruit to retire” that will streamline integrated information. By upgrading the current version of SAP to SAP Success Factors, the current multiple systems used for time keeping, onboarding and performance management will move to one standard system.

- SAP-Success Factors will go live in April 2018

- Training to begin in early 2018

SAP Success Factors is a complete human capital management solution.  Employee Central is considered the core HR system of record that combines HR transactions, processes and data with mobile functionality. We are also working through a complete recruit-to-retire solution, which will include payroll processes. Other processes and functionality being mapped, include:

  • Recruiting
  • Onboarding
  • Learning
  • Performance and Goals
  • Compensation
  • Succession and Development

A related project also underway, is the Job Family Structure component of our HCM strategy:

A new job family structure and job classification system will be implemented and job classifications and job titles will change (excluding faculty).  Unfortunately, after 2 years in the making, the Job Family Structure is not ready for implementation at the same time as the Human Capital Project.  West Lafayette is working diligently to solve structural design issues, improve collaboration and broaden communication efforts on the Job Family Structure with key leaders within the University.

 

On November 1, a temporary pause was announced for all Purdue campuses for processing certain activities within our current SAP system to enable a smooth conversion of data, finalization of the design of the Job Family Structure and the deployment of Success Factors, all critical elements as we go-live with the Human Capital Management module of the overall Transformation Project

The following specific tasks will be temporarily paused as of November 1, with changes to be processed once the new system is live and stable, set for July 1:

  • Position re-classifications and revisions to position descriptions (submitted when there has been a substantial and permanent change in an employee’s job duties, job complexity and/or knowledge and skills required in the position);
  • Desk audits of positions (detailed assessments where an incumbent describes the responsibilities of his/her position and provides illustrative examples of work to a compensation specialist to obtain information about his/her duties and responsibilities); and
  • Reorganizations processed through SAP (moving or re-creating organizational units as well as closing/re-creating cost centers). Note: With respect to reorganizations, you may reorganize your operations during this time.  Following go-live, any formal changes will be made to SAP Success Factors, workflow and financial reporting to reflect these operational changes.

 

This pause will enable the individuals that support these activities to remain fully engaged in the process of simplifying and automating the processes and system to enable these and all future HCM activities to be simpler and more efficient.

Activities that are not impacted by the pause include:

  • Posting of new positions or existing positions
  • Submission of new organizational units and corresponding cost centers

Enterprise Asset Management (EAM)

The EAM transformation includes the elimination of duplicate business processes and IT software systems by expanding SAP maintenance and capital project management functionality and decommissioning Maximo and Primavera.

 

General Ledger (Finance)

The General Ledger (Finance) transformation will redesign the core financial structure to a standardized structure that allows us to truly utilize SAP to create reporting opportunities needed in today’s world. Through an upgrade to cloud-based SAP S/4HANA platform, the project will reduce complexity and inflexibility of financial structures.
