Monthly Meeting Minutes
May 16, 1999

CALL TO ORDER. Nancy called the meeting to order at 1:35.
THE CO-CHAIRS' REPORT
West Lafayette. Dennis reports that the topic of discussion was the change of health plan in 2001. For the first time in several years Purdue finds it necessary to raise our insurance rates and we may also see higher out-of-pocket costs.
At the next West Lafayette meeting there will be a vote on Dennis' proposal regarding 30 year employees being able to retire with Official Retiree status.
COMMITTEE REPORTS
Traffic Committee. Diann Keele reported that 23 cases were upheld and 9 dismissed.
Financial Report. Linda Whitlock reported that there is a balance of $3,680.72
OLD BUSINESS
Book Fair. The Spring book fair brought in $660 for the dependent grant fund.
R.A.D. Jim Ferguson discussed CSSAC raising funds for the Rape Assertive Defense system (R.A.D.) with Walter Branson.
Dennis will contact Branson regarding the $400 that CSSAC would like to donate.
NEW BUSINESS
Year-End Reports. Dennis asked that all CSSAC members bring to the next meeting a year-end report from the committees they serve on.
June Meeting. Nancy passed around a sign-up sheet for the carry-in lunch at the next meeting to welcome the new members. The committee will decide in June weather to meet in July and August this year.
The next meeting will be held on June 20 at 12:00 noon in the Walb Student Union Blue Room.

Q. I have had several comments or complaints about the way the Mastodon Madness reservations are being handled.
Someone in the library never received information and then the second notice came the day before it was due, and some people were off that day. As of today I have had four complaints just from library staff. So I hope the turn out is good. Most thought it was somehow unfriendly. I guess before they always got several notices way ahead and then received tickets in advance, and if they didn't they were still welcomed to go (as it should be). I think mostly they don't like the attitude of not being welcomed to be there.
A. Several campus departments have indicated that they did not receive the first mailing of the summerfest information (several floors of different buildings). That is why there was a second mailing. Diana did what she could by having a second mailing done to catch some who did not receive the original. We will be sure to address these for the next year.
The reasoning behind the "short" turnaround time on the flyers:
In the past when the mailings went out too soon people did not respond to them in a timely fashion (they would put it off because they had a long time to respond and then would forget to do so). It was not meant to be a deterrent to attending summerfest. We need to have people respond to get a head count for ordering food. If people do not respond and simply "show up" we have the problem that we had in the past of running out of food (not a good situation). We would much rather have people say they were coming and not show up than to have them not respond and show up anyway. It was thought that a shorter timeframe to respond in would help employees decide if they were interested in attending or not. I know that several bulletin board messages were sent out alerting folks that it was coming up on the 17th of May so that they could plan for it. It was decided not to send out meal tickets because of the possible problem of employees getting them, which also happened in the past.
Again, we will try to address these concerns and glitches in informing the campus community of these events.
Thanks for bringing this to our attention. We will work to make it easier in the future. I hope that this answers some of the questions and does not create any bad feelings toward CSSAC or ASC when these events are planned.
