Monthly Meeting Minutes
March 16, 1999

CALL TO ORDER Dennis called the meeting to order at 1:37 p.m.
THE CO-CHAIRS' REPORT. Dennis Shadle reported that Nancy Bloom has resigned her position at IPFW so will no longer be serving on CSSAC.
COMMITTEE REPORTS
Diversity Council. Linda Whitlock reported that the committee approved the Diversity week calendar and is working on publicity. They are also working on the final draft of the process for an award to a clerical and service staff employee for best enhancing diversity on campus.
Summerfest. Kim Jacobs joined us to discuss Summerfest scheduled for June 4. It is going to be similar to last year's event. This year there will be 2 shifts of food served so that those departments that stay open through the lunch hour may still send their employees for the lunch. There will be volleyball, euchre, line dancing, and bingo. There will be no entertainment provided and the dessert judging will return this year. A suggestion was made that perhaps the committee could look into tours of the "Plex".
OLD BUSINESS
Pride Plus Awards. The winners have been decided. Jana Williams for clerical and Charles Showalter for service. Amy talked about a possible change to the pride plus nominations and selection process.
Book Fair. March 30 and 31 will be the book fair in Kettler Hall. There is still in need of volunteers to assist with the booth.
Recognition Luncheon. The clerical and service recognition luncheon will be held on April 8. Diann Keele is working on the menu.
NEW BUSINESS
West Lafayette. The next meeting at West Lafayette will be held April 13. Kevin Gillenwater and Pam Nesbitt of Personnel Services will speak on job classification levels.
Officers. Dennis reported that Amy Wilson will not be on the committee next year, since her term ends May 31. New officers wil be voted on in April.
The meeting was adjourned at 2:45 p.m.

Q. The current Clerical and Service handbook is dated 1991 and the information is so outdated that each time I have a question I feel I have to call Human Resources to make sure I am giving out accurate information. I don't understand when faculty handbooks are updated as frequently as they are that there isn't a greater priority to provide the same kind of accurate information to clerical and service staff. What plans does Purdue West Lafayette have for replacing the clerical and service staff handbook?
A. There is a draft ready now for review. The new handbook should be out by the end of this fiscal year.
I know people are having a difficult time with the fact that we've not produced one in seven years. After we've done this major rewrite, future handbooks should be more timely.

Q. If a person has a scheduled vacation day and there is a snow recess day called the same day, why can't that employee save his/her vacation day for later use and be paid for the snow recess?
A. The pay practice is to record the time as vacation for the day(s) the snow recess was declared for those staff who had previously scheduled vacation. A snow recess is an extraordinary event that does not affect employees' pay status. Wages are paid to those staff scheduled to work but couldn't because of the snow recess and vacation is paid for those who are on vacation.
