CALL TO ORDERRebecca Williams called the meeting to order at 1:30PM.
Approval of Minutes. The minutes of the November/December meetings should be amended as follows:
Forty prime spaces were freed up in lot 10 - not "near the CM Building" when the men working on the Science Building moved their cars to Lot # 1.
CSSAC/WL. Rebecca Williams attended the West Lafayette meeting where they discussed organizing their files. Larry Griffin will establish our archives.
Secretary of Finance. The current balance is $3,069.08.
Communications. Aaron Moore said that the sign and poster policies were once again discussed. Elaine asked if the Communications Committee would look into posting emergency procedures in each building. Discussion involved whether employees are aware of emergency procedures and whether they know they should call 6911 and wait on the line while Police and Safety notify the proper emergency crew and relays instructions to caller. Elaine volunteered to work with Dave Leeka and Lauren DenHartog on this issue and hopes that the Communication Committee will put it on the top of their list. Aaron suggested the operation procedures should be distributed to all employees in a three-ring binder for ease in updating and keeping the employees aware of changes.
Dependent Grant Fund. Bobbi Barnes presented a rough draft of the new applications for CSSAC scholarships that will include new rules which will determine who gets the scholarships if the scholarship fund is low. Elaine Weber suggested setting a deadline that is fair to applicants. Aaron Moore suggested making sure each year that the deadline does not fall on a Saturday or Sunday. Bobbi will check with Financial Aid to determine what date would be the latest we could use for the Fall Semester (the only one that will be affected).
Affirmative Action. Sue Hiatt informed us that there is a need for tour guides during Diversity Week and that any interested staff members should contact her by e-mail at HIATT.
Tour guides. In addition to the Diversity Week there is also a need for tour guides all year. The Admissions Office gives campus tours to prospective students every Monday, Wednesday, and Friday at 10 a.m. and every Tuesday and Thursday at 3 p.m. On occasion, they also give tours to groups of elementary and middle school students, visitors from other countries, and other special groups. Suzanne Echtenkamp would like to invite all employees to join them in giving tours. There would be a training session, a tour with one of the student guides, and a practice tour before you give one of your own. Suzanne would give you a week's notice when asking you to give a tour, and, of course, you would be free to decline the request. Deb Roy said that each tour takes 30 - 45 minutes. Elaine Weber would like to know if any retirees are interested in being tour guides. She said that she took a tour of the Calumet campus and was guided by a retired secretary from that campus. By-Laws. Rebecca said that at this point the amendments to the by-laws have been approved but that a change may have to be made if it is decided to use a secretary that is not serving on the CSSAC board.
December Book Sale and Bus Trip. The scholarship fund was increased by total sales of $922 and $213 for the December book sale and the Chicago bus trip respectively.
Bridge Follow-up. A follow-up to the Bridge question about university contributions to retirement: The contribution by IU or Purdue of 3% into the annuity savings account and the current 6.3% into the pension account is mandated by PERF. PERF periodically changes the pension account contribution, which at one time was as high as 9%, in order to keep the fund healthy. The 3% contribution was mandated some time ago and funded by a decrease in the recommended salary increments for all covered employees in that year (i.e., a pay increase of 3% was approved, but the money went into an annuity fund instead of into a paycheck that particular year). The only way to change the amounts is to again approach the state legislature. An alternative is to approach the university with a request to establish a fund (similar to a 401K) in which they would match, or at least contribute funds to an employee contribution program. Our path to this is through the West Lafayette CSSAC......more on this later.
Pride Plus Nominations. Pride Plus awards nomination forms are available electronically by contacting Rebecca Williams at 6194 or by e-mail, username: WILLIAMS. Nominations are due by February 21,1997.
Get Fit. Judy Tillapaugh of Athletics joined us to discuss the walk/run club. Judy is enthusiastic about the Wellness Program and helping IPFW employees be the best we can be. She encourages all of us to use the information and equipment available to us in the Gates Center. This year's Health Affair will be held April 2 from 8 a.m. - 2 p.m. Call Judy for a tour of the fitness center or for advice concerning your wellness plan at 6647. Thanks Judy!
Summerfest. "Come To The Circus" is the theme for this year's Summerfest. Ruben Garcia is in charge of entertainment and is searching for a ringmaster, clowns, a bear, a lion, a tiger, and of course a trainer for these animals. If you would be interested in volunteering or know of someone who would, let Ruben know by contacting him at 6820 or by E-mail, username: GARCIA.

Vacation Accrual. Mary Waskiewicz raised the question about vacation accrual and why C/S staff max out after 11 years of service. Could an extra day be added for 20 years of service? This question was in the October minutes. West Lafayette is conducting a "Work- Life Study" that addresses the issues of all personnel including A/P, C/S, and faculty. The plan for this committee is to create more equity in all of the benefit plans of all the groups.
The West Lafayette CSSAC has submitted a request to Personnel requesting more vacation days some time ago. This committee is looking at issues regarding record keeping to better track requests already made so we can provide follow-up where necessary. IPFW has a voice into all proposals as a voting member of the WL CSSAC group. Requests to change benefits are not handled locally and must go through the processes at WL. Any new information learned regarding additional benefits or other pertinent information will be passed along.
NEXT MEETING. The next meeting will be held on February 18, at 1:00 p.m. We will invite our supervisors and carry in lunch.
